Little Luminaries Play – Weekend Club Policy
This policy outlines the expectations, payment arrangements, and requirements for all families enrolling children in the Weekend Club (ages 4–11). Our aim is to create a safe, enjoyable, and fair environment for children, staff, and families.

1. Attendance & Registration
• All children must have a completed registration form on file before attending. This includes medical history, allergies, dietary needs, and emergency contacts.
• We can support families in completing the form if assistance is needed.
• No child can be admitted without a completed registration, for safety and safeguarding reasons.

2. Payments
• Session fees must be paid in advance at the time of booking.
• Payments can be made online through our booking system, or in cash in person with prior arrangement.
• Optional extras:
o Breakfast (£3) – payable in advance with booking.
o Lunch (£5, full-day sessions only).
• Families are welcome to pay up to 3 months in advance for their child’s place. To arrange this, please speak with a member of staff.

3. Late Collection Fees
• Children must be collected promptly at the end of their booked session.
• A grace period of 5 minutes is allowed.
• After this, a £5 fee for every additional 5 minutes late will be charged.
• Repeated late collection may result in your child’s place being withdrawn.

4. Clothing & Personal Items
• Children should wear comfortable, practical clothing suitable for active play, crafts, and indoor sports.
• Closed-toe shoes are required (no flip-flops or unsafe footwear).
• Little Luminaries Play cannot be held responsible for lost or damaged personal belongings. Please do not send valuable items with your child.

5. Daily Activities & Meals
• Each session includes a range of themed activities such as:
o STEM challenges
o Arts & crafts
o Storytelling and literacy games
o Group games and sports
• Breakfast (optional, £3) provides children with a healthy, balanced start to their day.
• Snacks and lunch are optional add-ons, payable in advance.

6. Safeguarding & Health
• All staff hold Enhanced DBS checks and at least one staff member on site at all times is Paediatric First Aid trained.
• Parents must provide up-to-date medical information to ensure we can meet each child’s needs.
• Any medication must be signed in by a parent and recorded on our Medication Log.

7. Communication
• Families are encouraged to speak with staff about any concerns, payment queries, or to discuss paying in advance.
• Staff will always be available at drop-off and pick-up for quick updates.
