By registering a child at Little Luminaries Day Care, parents/carers (“you”) agree to the following terms and conditions.
1. Bookings & Payments

All bookings must be made in advance through our online booking system or directly with management in writing.

Payment is required at the time of booking unless otherwise agreed in writing.

A booking is not confirmed until full payment (or agreed funded hours confirmation) has been received.

All session fees are non-transferable to other families or children.
-
Late payments may result in suspension of a child’s place until the balance is cleared.

We reserve the right to review fees annually or as required to meet increased operating costs (e.g. food, utilities, or regulatory compliance).

Payments may be made via bank transfer, standing order, or direct debit on the agreed date each month.

Refunds are not issued for missed sessions, illness, or absence unless otherwise specified in our Sick Day Policy.
2. Attendance & Collection

Parents/carers must sign children in and out on the daily register at each session.

Children must be collected promptly at the end of their booked session.
-
A grace period of 5 minutes is allowed. Thereafter, a £5 charge per additional 5 minutes will apply.

Only authorised adults listed on the child’s registration form are permitted to collect the child.

Photo ID may be requested for anyone unfamiliar to staff.

Parents must inform staff immediately if someone new will collect their child.
-
Repeated late collections may result in the termination of the childcare place.
3. Safety, Health & Welfare

All staff at Little Luminaries Day Care hold Enhanced DBS checks and are trained in safeguarding and paediatric first aid.

The setting operates under Ofsted regulations, EYFS requirements, and relevant health and safety legislation.

Parents must provide up-to-date medical, allergy, and emergency contact information.
-
Medication will only be administered in accordance with our Medication Policy and with written parental consent.
-
Children who are unwell or contagious must not attend the setting.
-
Little Luminaries Day Care is not responsible for loss or damage to personal items brought to the setting (e.g. toys, clothing, electronics).

Reasonable adjustments will be made to support children with SEND (Special Educational Needs and Disabilities) in line with our Inclusion Policy.
4. Behaviour & Conduct
-
We use positive reinforcement, emotional coaching, and restorative conversations to guide children’s behaviour.
-
Bullying, physical aggression, or behaviour that compromises safety will not be tolerated.
-
Parents will be informed if any serious behavioural concerns arise.
-
In cases of persistent unsafe or disruptive behaviour, the child’s place may be temporarily suspended or withdrawn, following discussion with parents.

Parents are expected to support the nursery’s ethos of kindness, inclusion, and respect when communicating with staff or other families.
5. Emergencies

In case of fire, evacuation, or lockdown, the setting will follow the Emergency & Evacuation Policy.

In the event of a serious accident or illness, staff will administer first aid and contact emergency services as required.
-
Parents/carers will be contacted immediately.
-
If a parent cannot be reached, the management reserves the right to act in the best medical interest of the child until the parent is available.
6. Policies & Compliance

Little Luminaries Day Care operates in line with the Early Years Foundation Stage (EYFS) statutory framework.
-
Copies of all policies (Safeguarding, Health & Safety, Inclusion, Complaints, Data Protection, etc.) are available upon request or viewable on our website.

The setting complies with the UK GDPR and Data Protection Act 2018 in relation to all personal data.
7. Notice Period & Termination

A minimum of four (4) weeks’ written notice is required to cancel a booking or withdraw a child from the setting.
-
Failure to provide the required notice will result in a charge equivalent to four weeks’ fees.

Little Luminaries Day Care reserves the right to terminate a placement with immediate effect if:

Fees remain unpaid after reasonable reminders,
-
A child’s behaviour endangers others, or
-
Parents breach these Terms and Conditions.

8. Holidays & Closures

The day care is open 7 days a week, 6:30am – 7:30pm, for 49 weeks per year.
-
The nursery will close for up to 3 weeks annually during public holidays and staff training periods.
-
No fees are refundable for closures due to extreme weather, government guidance, or situations beyond our control.
9. Changes to Terms
Little Luminaries Day Care reserves the right to update these Terms and Conditions at any time, with reasonable notice provided to parents.
